JOB TITLE: Vehicle Service Writer Assistant
MAINTENANCE

OBJECTIVE: To receive and respond to City vehicle
operators' repair requests, vehicle status, and solicit post maintenance
feedback.
ACCOUNTABILITY: Receives general supervision from the Vehicle Service
Writer.
ESSENTIAL
JOB FUNCTIONS:
1. Writes
repair work orders based on information from vehicle operators and drivers.
2. Enters
work order data and encodes repair type.
3. Updates
vehicle repair and maintenance Status Board based on information provided by
the Vehicle Service Writer.
4. Reviews
and corrects computer generated vehicle downtime reports and maintains report
book.
5. Maintains
list of reserve vehicles to loan to drivers and keeps vehicle pool log.
6. Provides
initial repair orders to Vehicle Service Writer for review, necessary revisions
and mechanic team assignment.
7. Maintains
inventory of Fleet Services vehicle and facility keys.
8. Contacts
customers after repairs are completed to determine satisfaction with repairs;
reports dissatisfaction to supervisor.
9. Provides
operators and department contact personnel tentative time estimates for repair
completion; follows-up by informing department representative of changes in
vehicle status, i.e., repair delays or work completed.
10. Reviews
preventive maintenance (PM) printouts for accuracy and corrects as necessary;
establishes PM schedule by contacting respective shop and Vehicle Service
Writer to set times and dates.

REQUIRED
KNOWLEDGE, SKILLS, AND ABILITIES:
Some
knowledge
of work planning and scheduling.
Some
knowledge
of the operating principles of internal combustion engines and related
mechanical and electrical systems.
Skill in the operation of a
computer terminal.
Ability to maintain accurate
record-keeping system.
Ability to communicate effectively
both orally and in writing.
Ability to establish and maintain
effective working relationships with other City employees and the general
public.
ACCEPTABLE
EXPERIENCE AND TRAINING:
Completion of
high school; at least one year of experience in vehicle maintenance and
repair work, or at least one year of experience in vehicle maintenance
and repair work production, planning or scheduling; at least one year of
clerical or computer entry experience; OR
any equivalent combination of experience and training which provides the
required skills, knowledge, and abilities.
