JOB
OBJECTIVE: To provide administrative
and secretarial support to Fire Department personnel assigned to the Inspection
and Training Division.
ESSENTIAL
JOB FUNCTIONS:
1. Drafts
and types confidential correspondence, narrative and statistical reports, and
special materials from dictation or rough draft; reviews routine incoming
correspondence and composes responses for the signature of the Assistant Fire
Chief and other Departmental personnel.
2. Collects
monies for requested copies of fire incident reports and the fire safety codes;
deposits monies at the Collector's Office.
3. Operates
a microcomputer, utilizing graphics, spreadsheet, and word processing software
to generate correspondence, memoranda, and reports.
4. Researches monthly incident reports and compiles information to prepare monthly, semiannual, and annual Fire Department activity reports.
5. Monitors
the fire incident computer system to ensure the accuracy of information entered
by Fire Department personnel and personnel in the Communications Center;
ensures the correction of any discrepancies.
6. Conducts
research, compiles information and prepares various graphic, narrative and
statistical reports.
7. Establishes
and maintains a hard copy and computer filing and record-keeping system for
correspondence, reports, and other information.
8. Maintains
hard-copy and computer files and records of promotions, changes of address, and
telephone numbers of Departmental personnel.
9. Conducts
file searches and provides information to citizens and other agencies regarding
hazardous materials related requests.
10. Researches
records and compiles information for presentations by the Fire Chief, and
submission to various agencies.
SECONDARY
DUTIES AND RESPONSIBILITIES:
1. Make
travel arrangements for the Department Director, and other Department personnel
members; prepares purchase requisitions for travel; ensures payments to staff
for reimbursable expenses; reconciles travel receipts and forwards to Finance
Department.
2. Answers
questions and provides information to callers and visitors regarding
inspection, training programs and operations; directs callers to appropriate
personnel.
3. Issues
burn permits, faxes copies of permits to the Communications Center, and
maintains a permit log; issues tent permits after ensuring tents contain
necessary flame retardant materials.
4. Maintains
a hard-copy file of voided commercial and residential burn permits.
5. Maintains
an inventory of office supplies; places orders.
6. Serves
as backup to other departmental clerical personnel in their absences.
7. Notarizes
affidavits and other official papers relating to the hiring of new employees.
8. Compiles
information and prepares an annual departmental revenue report
9. Performs other related duties as
required.
