CURRENT JOB TITLE:  Secretary (Police - Southwest Patrol)

JOB OBJECTIVE:  To provide clerical support for the Police Department, Southwest Patrol Division.

 

ACCOUNTABILITY:  Receives general supervision from the Police Captain (Southwest Patrol).

 

ESSENTIAL JOB FUNCTIONS:

 

1.         Transcribes letters, memoranda, and other correspondence prepared by Southwest Patrol Division personnel regarding patrol oriented matters.

 

2.         Receives information pertaining to resisting arrest cases, pursuits, and vehicle accidents; sorts data, creates files, and forwards information to appropriate personnel.

 

3.         Types a daily summary of Southwest Patrol Division activities and distributes to appropriate personnel.

 

4.         Answers the telephone and routes callers to division personnel; answers questions and provides information to callers and visitors.

 

5.         Receives off-duty employment forms, routes them to the Police Captain (Southwest Patrol) for his signature, then forwards them to Downtown for filing.

 

6.         Receives calls from citizens requesting extra patrols for their businesses or residences; types extra patrol data, secures necessary signatures, and ensures officers provide follow-up documentation on the extra patrol forms.

 

7.         Operates a microcomputer, utilizing word processing and spreadsheet software to prepare monthly, quarterly, semiannual, and annual narrative and statistical reports regarding Southwest Patrol Division activities and personnel assignments.

 

8.         Types correspondence for the quarterly neighborhood watch meetings; attends the meetings and arranges for refreshments and informational handouts.

 

9.         Receives and distributes mail for all Southwest Patrol Division personnel; receives complaints against Police Officers and forwards to appropriate personnel for action.

 

10.       Maintains an inventory of office supplies; requests additional supplies as necessary.

 

11.       Transcribes notice of intent letters given to officers prior to their administrative hearings; transcribes administrative hearing proceedings and types hearing disposition letters.

12.       Assigns lockers to Police Officers; maintains spare keys and a roster of all locker assignments.

 

13.       Creates and maintains files for Workers' Compensation claims.

 

14.       Receives incident reports and pins City maps to reflect areas experiencing burglaries, robberies, and rapes; forwards copies of incident reports to Neighborhood Watch groups.

 

15.       Maintains Southwest Patrol Division files and records.

 

16.       Schedules and cancels appointments and meetings for the Police Captain (Southwest Patrol).

 

17.       Ensures trusties assigned to work at the Southwest Substation report to work as scheduled; contacts the Work Release Assistant when problems arise.
