JOB TITLE: Secretary (Police - Downtown Patrol)

JOB
OBJECTIVE: To provide clerical support for the Police
Department Downtown Patrol Division.
ACCOUNTABILITY: Receives general supervision from the Police Captain
(Patrol).
ESSENTIAL
JOB FUNCTIONS:
1. Transcribes
letters, memoranda, and other correspondence prepared by the Police Captain
(Patrol), and the Chief of Police for patrol oriented matters.
2. Receives
information pertaining to resisting arrest cases, pursuits, and accidents;
sorts data, creates files, and forwards to the Police Captain (Patrol).
3. Types
a daily summary of Patrol Division
activities and distributes to appropriate personnel.
4. Answers
the telephone and routes callers to appropriate personnel.
5. Receives
and reviews off-duty employment forms for accuracy and forwards them to the
Police Captain (Patrol) or Chief of Police for signatures.
6. Receives
calls from citizens requesting extra patrols for their businesses or
residences; types extra patrol data, secures necessary signatures, and ensures
officers provide necessary follow-up documentation on the Extra Patrol Form.
7. Operates
a microcomputer, utilizing word processing and spreadsheet software to prepare
monthly, quarterly, semiannual, and annual narrative and statistical reports
regarding Patrol Division activities and personnel assignments.
8. Prepares
schedules for officers assigned to work special events; prepares and types
reports detailing personnel costs for special events, (i.e., Riverfest,
football games, the fair, etc.).
9. Types
correspondence for the quarterly Neighborhood Watch meetings; attends the
meetings and arranges for refreshments and informational handouts.
10. Receives
and distributes mail for Downtown Patrol personnel; receives complaints against
Police Officers and forwards to appropriate personnel for action.
11. Maintains
an inventory of office supplies and orders supplies as necessary; secures the
Police Captain's signature on invoices and forward to Purchasing for payment.

12. Transcribes
Notice of Intent letters given to officers prior to their administrative
hearings; transcribes administrative hearing proceedings and types hearing
disposition letters.
13. Maintains
Patrol Division budget information in microcomputer files; types Fund Transfer
Requests for processing by the Police Administration Division.
14. Assigns
lockers to Police Officers; maintains spare keys and a roster of all locker
assignments.
15. Transcribes
tapes from the Communications Center involving vehicle pursuits and other
Police incidents; places tapes and transcriptions into the applicable files.
16. Completes
an annual review of Patrol Division tagged inventory and forwards to the
Finance Department.
