JOB TITLE:  Office Assistant II (Public Works - Solid Waste Collection)

 

MAINTENANCE REVIEW DATE:  May 1997

JOB OBJECTIVE:  To schedule customer requests for specialized services, answer questions concerning all aspects of available solid waste services, and to handle all phases of customer complaints.

 

ACCOUNTABILITY:  Receives general supervision from the Solid Waste Systems Specialist.

 

ESSENTIAL JOB FUNCTIONS:

 

1.         Receives calls from customers requesting specialized solid waste services.

 

2.         Enters service requests into network computer system; selects appropriate form from computer menu listing for service complaints, cart requests, Foreman checklists, and bulky item program on a daily basis; notified customer of scheduled collection data.

 

3.         Explains Solid Waste Collection procedures to customers to ensure compliance with Departmental rules and City ordinances.

 

4.         Receives request for neighborhood cleanups; explains program restrictions; schedules delivery of roll-off containers.

 

5.         Prints daily assignment sheets for specialized programs; prints complaint listings on Solid Waste Collections crews for Foremen daily.

 

6.         Enters complaint data on solid waste contractor (Waste Management) computer system; faxes current complaint listings to solid waste contractor daily.

 

7.         Enters completion codes on all scheduled service requests as to date of completion, status of request, and rescheduling of request.

 

8.         Contacts complainants and requestors of solid waste services randomly to determine quality of service delivery; enters results into computer system and prints monthly reports.

 

9.         Enters addresses and codes into computer database on customers tagged by collection crews on service violations; prints violation reports.

 

10.       Maintains files, reports, memos, and other correspondence concerning solid waste collections.

 

11.       Receives phone calls and relays messages to Solid Waste personnel.

12.       Performs minor troubleshooting for software applications and computer/printer malfunctions.

 

13.       Serves as backup to Dispatcher by notifying Foreman of complaints, equipment breakdowns and employee injuries; maintains employee and equipment logs.

 

14.       Operates answering machine for recording of off-hour phone calls; activates and disables machines daily; retrieves messages and returns calls; updates recordings as to holiday schedules and other special events.

 

SECONDARY DUTIES AND RESPONSIBILITIES:

 

1.         Types labels, forms, and other basic correspondence; operates a typewriter.

 

2.         Operates a TDD telephone to assist hearing-impaired customers.

 

3.         Assists in training of new Office Assistants.

 

4.         Answers customer questions concerning recycling; directs customer to appropriate agency on recycling issues.

 

5.         Performs other related duties as required.
