JOB TITLE:     Office Assistant II (Community Programs - Workforce Development)

 

MAINTENANCE REVIEW DATE:  October 1998

JOB OBJECTIVE:  To provide clerical support to the Community Programs Department Workforce Development Division.

 

ACCOUNTABILITY:  Receives general supervision from the Workforce Development Program Administrator.

 

ESSENTIAL JOB FUNCTIONS:

 

1.         Answers the telephone, provides information, takes messages and directs callers to appropriate personnel; refers callers to community service resources as appropriate.

 

2.         Operates a microcomputer with database, spreadsheet, and word processing software to input data and to type brochures, correspondence, forms, and reports.

 

3.         Types and prepares monthly, quarterly, semi-annual, and annual narrative and statistical reports, including Program performance reports, Program utilization reports, and grant status reports.

 

4.         Assists in the compilation of budget and financial data.

 

5.         Maintains hard copy and computer filing and record-keeping systems relating to the Workforce Development Program.

 

6.         Secures meeting rooms and makes other arrangements for meetings.

 

SECONDARY DUTIES AND RESPONSIBILITIES:

 

1.         Reviews incoming correspondence and materials; drafts responses.

 

2.         Collects, sorts, and distributes incoming and outgoing mail.

 

3.         Distributes keys to appropriate parties; maintains list of key recipients.

 

4.         Performs other related duties as required.
