JOB TITLE: Management Information Specialist
MAINTENANCE

JOB
OBJECTIVE: To ensure that information required by JTPA
regulations is properly collected and maintained and that required reports are
prepared and distributed in accordance with federal, state, and local
regulations.
ACCOUNTABILITY: Receives general supervision from the Intake and
Assessment Supervisor.
ESSENTIAL
JOB FUNCTIONS:
1. Reviews
all MIS forms submitted for applicants' participation in JTPA programs for
completeness and accuracy.
2. Prepares
reports to be maintained regarding the participation of JTPA applicants and
each trainee enrolled in JTPA programs.
3. Maintains
and implements a record keeping system, including information cards, forms, and
other data for compiling required reports.
4. Provides
information to subgrant recipients regarding JTPA regulations and procedures
for maintaining required records and completing reports.
5. Distributes
materials regarding changes in federal, state, and local reporting requirements
to subgrant recipients.
6. Operates
all JTPA software programs and assists State in transferring information
pertaining to active and inactive participants.
7. Inputs
information from MIS forms into computer terminal daily; provides computer
program training to staff and program operators.
SECONDARY DUTIES AND RESPONSIBILITIES:
1. Operates
a computer to retrieve data and prepare monthly, quarterly, and special
reports, and to list demographic information on applicants and participants for
compliance with JTPA reporting regulations.
2. Performs
30-day reviews on verifications of participants’ participation and/or
enrollment in JTPA programs.
3. Performs
other related duties as required.

KNOWLEDGE, SKILLS, AND ABILITIES:

knowledge
of standard office procedures and record maintenance systems.
Some
knowledge
of electronic data processing and record maintenance systems.
Skill in the operation of a
computer terminal and all related software.
Ability to communicate effectively,
both orally and in writing.
Ability to maintain and implement a
record keeping system.
Ability to maintain complex records
accurately.
Ability to prepare reports from
files and computer maintained data.

ACCEPTABLE
EXPERIENCE AND TRAINING:
Completion of
a standard high school course; at least one year of college or
vocational-technical school course work in computer science or a related area; at
least one year of experience in record maintenance; OR any equivalent combination of experience and training which provides
the required knowledge, skills, and abilities.
