JOB TITLE: Fleet Supply Specialist
MAINTENANCE

JOB
OBJECTIVE: To coordinate informal purchasing of
equipment and supplies for the Fleet Services Department and to ensure that
specifications are met by vendors for quality, performance and delivery time.
ACCOUNTABILITY: Receives general supervision from the Fleet Operations
Manager.
ESSENTIAL
JOB FUNCTIONS:
1. Reviews
and develops specifications and purchase requisitions for items to be purchased
for all operational areas of the department; verifies compliance with City and
departmental purchasing guidelines.
2. Processes
informal bid requests as required for compliance with applicable guidelines;
selects vendors to receive bid notices.
3. Prepares
purchase requisitions, ensuring that the information needed by Accounting for
the LGFS system is present and correct for proper payment.
4. Assigns
and review the work activities of the Automotive Parts Clerk - Senior.
SECONDARY
DUTIES AND RESPONSIBILITIES:
1. Communicates
problems to the requesting party when submitted on specifications and purchase
requisitions is incorrect or incomplete.
2. Explains
the City's purchasing policy to Fleet Services employees and vendors; discusses
informal specification requirements for supplies and services with interested
vendors.
3. Contacts
vendors to obtain telephone or written quotes for purchases that are not
required to be formally bid; contacts new vendors who might be interested in
making competitive bids and to establish types of goods and services they are
capable of offering.
4. Serves
as Fleet Services point of contact with Purchasing Division staff; keeps
abreast of purchasing policies and procedures and informs Fleet Services
personnel of current requirements.
6. Opens
informal bids; determines the lowest bidder and makes recommendation for award.
7. Maintains
a complete and current vendor list and expands sources as necessary for use in
the informal bid process.
8. Performs other related duties as
required.

ACCEPTABLE
EXPERIENCE AND TRAINING:
Completion of
high school, supplemented by some college level course work in Business
Administration or a related field; at least two (2) years of experience
in purchasing or a related area; at least one (1) year of supervisory
experience; OR any equivalent
combination of experience and training which provides the required knowledge,
skills and abilities.
