JOB TITLE:  Court Clerk (Criminal)

 

MAINTENANCE REVIEW DATE:  December 1996

 

ORG/POS #:  1051/1018

 

JOB OBJECTIVE:  To ensure the maintenance and retention of court records for the Municipal Court.

 

ACCOUNTABILITY:  Receives general supervision from the Court Administrator.

 

ESSENTIAL JOB FUNCTIONS:

 

1.         Transfers arrest records from the police docket and makes daily entries in the Judge's docket and diary; stops subpoenas on cases filed directly to Circuit Court.

 

2.         Utilizes a computer terminal to type and organize docket sheets, jail lists, bond hearings and other documents for scheduling trials.

 

3.         Prepares affidavits, warrants, pleas and subpoenas and issues to party for court proceedings.

 

4.         Maintains and updates computerized and hard copy files of court records and circuit court appeals posted and prepares old records for storage.

 

5.         Prepares monthly statistical report for the judicial department.

 

6.         Issues bond forfeitures, warrants for the arrest of criminals, maintains log of warrants issued and notifies appropriate bondsman.

 

7.         Maintains a court fines and costs diary; issues Delinquent to Pay warrants as needed.

 

8.         Issues pay slips for fines and marks fine diary; prepares cash bonds and recognizant bonds; receives surety bonds from bondsman, file stamps, enters into computer, enters in the Judge’s docket book and files.

 

9.         Sets remand date in diary and computer; notifies defendants in writing of case remanded from Circuit Court.

 

10.       Verifies that subpoenas have been issued for upcoming trials.

 

11.       Prepares forms and documents for committing defendants to jail.

 

SECONDARY DUTIES AND RESPONSIBILITIES:

 

1.         Serves as backup to the Court Clerk (Civil).

 

2.         Utilizes a computer in scheduling court trials from information in the daily court diary; monitors the daily docket, diary, and Judge’s docket, to ensure court dates correspond.

3.         Provides assistance to the Judge during court, such as administering oaths and/or swearing in witnesses; maintains records of daily courtroom activities.

 

4.         Provides information to callers by telephone and answers correspondence regarding criminal court matters.

 

5.         Utilizes a computer to enter tracking numbers for Arkansas Crime Information Center in computer and maintain all tracking sheets for final disposition to be sent to A.C.I.C. or correct court or agency.

 

6.         Pulls files for court, makes any changes, or updates and returns to correct file.

 

7.         Performs other related duties as required.
