JOB TITLE:  Court Clerk (Civil)

 

MAINTENANCE REVIEW DATE:  February 1997

 

ORG/POS #:  1051/1018

 

JOB OBJECTIVE:  To ensure the maintenance and retention of court records for civil and small claims for the Municipal Court.

 

ACCOUNTABILITY:  Receives general supervision from the Court Administrator.

 

ESSENTIAL JOB FUNCTIONS:

 

1.         Enters judgments, satisfactions, dismissals, transfers, and appeals into civil dockets; enters case filings, garnishments, and orders into the civil and small claims docket.

 

2.         Issues garnishments, supersedeas, executions, complaints, replevins, and summons; maintains docket book for all pleadings, judgments, and entries in each file.

 

3.         Maintains current files of civil and small claims court records and civil appeals posted and prepares old records for storage.

 

4.         Prepares deposits for accounts maintained for collections from the civil and small claims court.

 

5.         Records transactions in all civil and small claims filings.

 

6.         Prepares monthly statistical report for the judicial system.

 

7.         Ensures that the ledger book is balanced accurately; makes checks payable to City accounts that are mandated by state statute; balances checkbook and receipt book.

 

8.         Creates case files with appropriate information for civil and small claims filings.

 

9.         Opens incoming mail, file stamps, and distributes to proper case file.

 

10.       File stamps all returns and summons; enters into docket book and distributes to correct case file.

 

11.       Verifies by phone, all judgments, with credit agencies to confirm that the judgments have been satisfied.

 

12.       Maintains a diary; notifies all attorneys by mail and phone of upcoming trials.

 

SECONDARY DUTIES AND RESPONSIBILITIES:

 

1.         Types and organizes docket sheets for civil hearings and other documents for scheduling trials.

2.         Provides information to callers by telephone and answers correspondence regarding civil and small claims matters.

 

3.         Serves as backup to the Criminal Court Clerk.

 

4.         Utilizes a computer terminal to daily update small claims and civil court filings.

 

5.         Performs other related duties as required.
