JOB TITLE: Concessions/Merchandise Coordinator

JOB
OBJECTIVE: To supervise personnel functions and the
operations of concession and merchandise facilities in the Parks and Recreation
Department.
ACCOUNTABILITY: Receives general supervision from the Parks Enterprises
Manager.
ESSENTIAL
JOB FUNCTIONS:
1. Assigns, trains and directs the work activities and monitors the performance of assigned regular full and part-time, temporary, and contract staff.
2. Determines
and distributes employee work schedules; supervises the activities of employees
assigned to concession and retail operations.
3. Implements and enforces revenue
operating policies, procedures, goals and objectives to ensure that staff and
facilities are functioning effectively and efficiently; evaluates cost
effectiveness and revenue production of programs and coordinates all financial
matters with the Department of Finance.
4. Makes
recommendations as to the number of personnel needed to perform concession and
retail functions and maintains records of time worked for each employee.
5. Monitors
the concession budget to ensure sufficient funds remain to purchase supplies
and maintain efficient staffing levels.
6. Ensures
proper inventory is maintained at each assigned concession stand and
merchandise facility.
7. Visits Department merchandise and
concession facilities to ensure proper operating procedures are followed.
8. Inspects merchandise and concession
facilities; prepares and reviews reports and records to determine operational
effectiveness; ensures that programs and operations are meeting Department
goals and objectives.
9. Ensures
reports, invoices, and bank statements prepared by concession and merchandise
facility employees are accurate.
10. Adds
and deletes products from concession menus and retail outlets; monitors the
acceptance of changes and the profits and sales of new products.
11 Coordinates
catering functions by determining scheduling, pricing, menus, etc.

12. Recommends
the pricing of food items to ensure an adequate profit level and competitive
price range.
13. Supervises the ordering of merchandise
and inventories merchandise to ensure facilities are adequately stocked.
14. Supervises food and beverage items served
for the Department Summer Playground Program; ensures compliance with
applicable Department of Human Services (DHS) guidelines and regulations.
15. Coordinates the contracts and permits for
Department concession and vending operations; ensures contracts and permits are
in compliance with Department guidelines and regulations.
16. Prepares sales and profit reports and
related materials for review by Department auditors and other staff as
required.
17. Prepares
and analyzes reports on sales, profits, costs and merchandise inventories;
recommends changes to enhance revenue production or reduce operating expenses.
18. Notifies supervisor of problems detected
with concession and merchandise facility operations and recommends methods of
correcting problems, increasing sales, and controlling expenses.
19. Prepares tentative annual budget figures
for the concession and retail facilities, with justification for major changes
and purchases; ensures expenditures do not exceed allocated budget; monitors
budget to ensure expenditures are within established guidelines; reports any
discrepancies to supervisor.
20. Conducts surveys, studies, and other
research, including visiting other merchandise vendors and concession
facilities, to determine trends, identify needs, and identify customer
preferences; analyzes and compiles data; prepares written reports with
recommendations to Deputy Director of Parks Enterprises.
21. Represents the Department in contacts
with outside agencies, vendors, professional meetings, and community groups to
identify needs, plan programs, presents reports and answer questions about the
Department retail program.
22. Conducts
and analyzes studies and surveys to determine the appropriate amount and
combination of products at various concession stands.
23. Assists in the purchasing of capital
equipment for existing and new facilities for concession and merchandise sites.
24. Receives
and investigates complaints from the public regarding concession and
merchandise facility operations and service.

26. Operates a City pool automobile in the
performance of essential job functions.
SECONDARY DUTIES AND RESPONSIBILITIES:
1. Serves
as backup during the absence of concession and merchandise facility employees.
2. Performs other related duties as
required.
SUPERVISORY RESPONSIBILITIES:
Provides general
supervision to the Assistant Concession Operations Supervisor, assigned
Refreshment Stand Operators and part-time employees.

ACCEPTABLE
EXPERIENCE AND TRAINING: Completion of at least two
(2) years of college or vocational technical course work in Business
Administration, Bookkeeping, or a related area; at least two (2) years of
experience in concession and merchandise sales; at least one (1) year of
supervisory experience; OR any
equivalent combination of experience and training which provides the required
knowledge, skills, and abilities.
ADDITIONAL
REQUIREMENTS:
Must possess a valid Arkansas Class D (Non-Commercial Vehicle) Driver’s License
before employment and maintain licensure for the duration of employment in this
position.
