JOB TITLE: Assistant City Clerk
MAINTENANCE

JOB
OBJECTIVE: To assist the City Clerk in preparing,
recording and filing documents related to the City of Little Rock Board of
Directors activities including all Ordinances, Codes, and Resolutions.
ACCOUNTABILITY: Receives general supervision from the City Clerk.
ESSENTIAL
JOB FUNCTIONS:
1. Assigns
identification numbers and distributes ordinances and resolutions which have
been approved by the Board of Directors.
2. Attends
Board of Directors meetings to serve as backup to the City Clerk in recording
Ordinances, Resolutions and relevant discussion for inclusion in meeting
minutes.
3. Operates
a microcomputer, utilizing word processing software, to type correspondence and
to serve as backup to the City Clerk by preparing Board agendas, meeting
minutes, and related documents.
4. Indexes
and cross-references materials stored on computer disks, microfiche and various
files.
5. Operates
microfilming equipment to prepare microfiche records.
6. Prepares
copies of Ordinances, Resolutions and notices for required publication;
requisitions payment for publication and/or bills other individuals responsible
for publication costs.
7. Maintains
a listing of members of City Boards and Commissions; ensures that Code of
Ethics statements are filed by Board and Commission members, department
directors and candidates for City office by notifying individuals of deadlines;
notifies the Prosecuting Attorney of persons failing to file required
statements.
8. Conducts
file searches to locate information requested by members of the public or
employees of City departments.
9. Ensures
that election petitions contain the required number of signatures by comparing
signatures with the Pulaski County Voter Registration list.
10. Compiles
information required to determine budget figures for office supplies;
requisitions or purchases needed supplies.
11. Receives
street and alley closure petitions; verifies petitions are complete and
accurate and places them on the agenda.

1. Notifies
the contracted publisher of all changes to the City of Little Rock Code of
Ordinances.
2. Serves
as backup to the City Clerk during absences by ensuring meeting agendas and
minutes are completed properly.
3. Performs
other related duties as required.

ACCEPTABLE
EXPERIENCE AND TRAINING:
Completion of
at least two (2) years of vocational technical school coursework in
secretarial procedures, office administration, or a related area; at least
two (2) years of secretarial experience; OR any equivalent combination of experience and training which provides
the required knowledge, skills, and abilities.
