JOB TITLE:     Administrative Technician

(City Manager – Administration – Small Business Development)

 

MAINTENANCE REVIEW DATE:  February 2000

JOB OBJECTIVE:  To provide clerical and administrative support to the Small Business Development Section of the City Manager’s Office.

 

ACCOUNTABILITY:  Receives general supervision from the Small Business Development Administrator.

 

ESSENTIAL JOB FUNCTIONS:

 

1.         Types letters, memoranda, and reports utilizing a microcomputer with spreadsheet and word processing software.

 

2.         Prepares and types monthly, quarterly, semiannual and annual Assessment and Evaluation Activity Reports of SBISS businesses; submits reports to supervisor and to City Manager.

 

3.         Answers questions and provides information to callers and visitors; refers to appropriate personnel, sources, or voice mailbox.

 

4.         Establishes and maintains hard copy and computerized filing and record-keeping systems of SBISS-related materials.

 

5.         Takes and transcribes minutes of meetings; types minutes and distributes to supervisor, advisors, and City Manager.

 

6.         Receives, sorts, and distributes incoming mail.

 

7.         Answers questions and provides information for clients in the use of microcomputers, peripheral equipment, and software applications.

 

8.         Ensures telephone answering service, mail routing, clerical (typing) and other services necessary for clients are provided.

 

SECONDARY DUTIES AND RESPONSIBILITIES:

 

1.         Maintains appointment calendar for supervisor; arranges and cancels appointments and meetings; arranges interviews of applicants for supervisor and advisors.

 

2.         Assists supervisor with the compilation of budget data; reviews expenditures to ensure account balances are not exceeded.

 

3.         Maintains office supplies inventory; places orders.

 

4.         Prepares purchase requisitions for supervisor approval.

5.         Conducts special surveys and research on assigned topics relating to specific SBISS activities, operations, policies, procedures, and programs; compiles information and prepares reports of findings.

 

6.         Performs other related duties as required.
