JOB TITLE: Administrative Assistant I
(Parks and Recreation – Administration - Accreditation)

JOB OBJECTIVE: To provide clerical and administrative support to the Department of Parks and Recreation; to provide technical assistance in the accreditation process.
ACCOUNTABILITY: Receives general supervision from the Director of Parks and Recreation.
ESSENTIAL JOB FUNCTIONS:
1. Writes specifications; contacts potential vendors to obtain price quotes; prepares purchase requisitions; places orders for equipment and material for golf and development activities and projects.
2. Schedules work orders for the Division; works with staff to ensure Departmental guidelines are followed; monitors projects to completion.
3. Provide technical assistance in the accreditation process for the Department of Parks and Recreation by reviewing standards published by the Commission for Accreditation of Park and Recreation Agencies (CAPRA), conducting research, and evaluating Departmental compliance with standards.
4. Compiles data and writes status reports of the accreditation process for the Director of Parks and Recreation; informs the Director of required policies and procedures not currently in place.
5. Provide assistance to Department personnel and personnel of other City departments in the implementation of policies and procedures required to meet accreditation standards.
6. Conducts surveys and collects information in response to public concerns and inquiries.
7. Researches and makes recommendations to the Director regarding planning and design of facility changes.
8. Researches and makes recommendations to the Director regarding planning, design, and implementation of organizational changes, programming and strategic planning.
9. Conducts on-site inspections of City facilities to ensure customer satisfaction.
10. Operates a City pool automobile in the performance of essential job functions.
SECONDARY DUTIES AND RESPONSIBILITIES:
1. Types correspondence, reports and special materials for the Director utilizing desktop publishing, spreadsheet, and word processing software.

2. Maintains files and records for the Department; ensures that files and records are maintained at all Division facilities; ensures completion of vehicle and equipment records.
3. Provides support to staff for activities and programs at City golf courses.
4. Ensures the Department meets operational procedure guidelines.
5. Performs other related duties as required.

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:
Considerable knowledge of standard office practices and procedures.
Considerable knowledge of hard copy filing and computer record-keeping systems.
Good knowledge of basic mathematical principles.
Good knowledge of computer fundamentals and business software, including desktop publishing, spreadsheet, and word processing software.

ACCEPTABLE EXPERIENCE AND TRAINING:
Completion of at least two (2) years of college coursework in Parks and Recreation Administration, Business Administration, Public Administration, or a related area; at least two (2) years of experience working for a parks and recreation agency, or a related area; at least two (2) years of experience in office administration, or a related area; OR any equivalent combination of experience and training which provides the required knowledge, skills, and abilities.
ADDITIONAL REQUIREMENT:
Must possess a valid Arkansas Class D (Non-Commercial Vehicle) Driver’s License before employment and maintain licensure for the duration of employment in this position.
