JOB TITLE: Administrative Assistant I (Fleet Services – Fleet
Administration)

JOB
OBJECTIVE:
To provide administrative support for the Fleet Services Department.
ACCOUNTABILITY: Receives general
supervision from the Director of Fleet Services.
ESSENTIAL
JOB FUNCTIONS:
1. Coordinates
preventative maintenance schedule for City vehicles; updates and maintains City
vehicle database; prepares down-time, fuel billing, and parts inventory
reports.
2. Maintains
City vehicle wreck files; designs and maintains database, provides reports and
information to public and City departments.
3. Serves
as contact with insurance representatives and lawyers to coordinate claims
involving City vehicles; compiles cost estimates and corresponds with
individuals and agencies for collection of
payment.
4. Audits
City vehicle odometers entered into the fueling system by reviewing daily
report and checking for accuracy.
5. Conducts
surveys, collects information and analyzes data relative to Departmental
programs and operations.
6. Operates
a microcomputer, utilizing database, spreadsheet, and word processing, software
to prepare a variety of reports, correspondence and other documents.
7. Reviews
incoming correspondence and prepares responses in routine matters.
SECONDARY DUTIES AND
RESPONSIBILITIES:
1. Researches
material, designs and prepares a variety of narrative and statistical reports
and presentations.
2. Prepares
responses to requests from the Board of Directors and the public regarding
Departmental operations and procedures.
3. Coordinates
special events, visits and other activities within the Department.
4. Performs
other related duties as assigned.
