JOB OBJECTIVE: To validate, code, and pay all invoices for the City of Little Rock Police Department.
ESSENTIAL JOB FUNCTIONS:
1. Receives invoices for all Police Department purchases; compares invoices to delivery tickets to ensure all items were received before payments are released.
2. Codes invoices to ensure they are charged to the proper budget accounts; prepares purchase requisition forms for payment of each invoice.
3. Prepares biweekly purchase requisitions to pay for jail food supplies; orders jail food supplies each week.
4. Computes the daily cost for each meal served in the jail based on the amount of food distributed and the number of prisoners.
5. Prepares monthly, quarterly, semiannual, and annual reports regarding the number of prisoners fed and the total cost for the food in the jail.
6. Computes cost estimates to determine the approximate cost to feed prisoners for the remainder of the fiscal year at the request of supervisor.
7. Completes monthly purchase requisitions to pay for Police Department utilities and telephones.
8. Calculates the daily rate when Police Officers are suspended without pay; generates purchase requisitions for this amount to be deposited into the Police pension fund.
9. Monitors budget accounts to ensure adequate funds are available; notifies supervisor of any deficiencies.
10. Maintains the Departmental petty cash fund; reimburses employees for small purchases and reconciles receipts with cash on hand.
11. Prepares work orders and/or calls outside repair personnel to repair malfunctioning equipment in the Police Department.
12. Completes the employee hourly wage portion of Workers’ Compensation claim forms; photocopies Workers’ Compensation forms and forwards them to the Human Resources Department.
13. Answers the telephone; assists vendors with questions regarding the payment of invoices by retrieving information from the computer terminal.
14. Maintains Departmental files and records related to purchases and other budget documents.
15. Performs light typing duties which may include typing reports, correspondence, and work orders; serves as backup to other clerical employees.
16. Serves as backup to Police Department personnel responsible for payroll entering daily time and processing payroll forms.
17. Monitors and orders Departmental office supplies.
